Housekeeping

View and manage the housekeeping, occupancy, and Out of Order (OOO) or Out of Inventory (OOI) statuses for rooms.

Room status table

Field

Description

Room Displays the room number. Select the blue room number hyperlink to view the change history for the room and its attendants. 
Room Type Displays the room type.

Housekeeping Status

Indicates if a room is Clean or Dirty.

Occupancy

Indicates if the room is Vacant or Occupied.

Guest Status

Indicates the guest's status on the hotel business date:

  1. Arriving = Guest is arriving
  2. Checked-in = Guest is in-house 
  3. Stay-over = Guest is staying over
  4. Checked-out = Guest has checked out
  5. Departing = Guest has yet to depart
Check-in

Indicates the date the guest checked-in.

Note: The Check-in and Check-out columns do not display if there are no next-day arrivals as of the hotel business date.

Check-out Indicates the date the guest checked-out.

Order Status/Reason

When a room is in Out of Order or Out of Inventory status the room is not available to be assigned to a reservation and checked in, but is not counted as available inventory to sell.

Reason Description

Displays description of why a room is OOO/OOI

Assigned Attendant

The housekeeper assigned to a room.

Notes Displays any comments or notes left by the attendant. Select the note icon to read the message.

 

Change the attendant assignment of a room(s)

To assign, update, or clear an attendant to a room(s):

  1. Assign an attendant to a room or group of rooms.

  2. Select the box beside one or more rooms.

  3. Click Manage Assignments.

  4. Search for an attendant by name or code.

  5. Select the box beside the desired attendant's name.

  6. Click Assign or Update to assign the attendant to the room(s).

Note: The attendant history can be viewed by clicking the blue room number hyperlink in the Room column.

 

Work with the OOO or OOI status of a room

To change the status of a room in OOO/OOI:

  1. Select the box beside  one or more rooms.

  2. Click Out of Order.

  3. Choose the radio button beside Out of Order to place the room(s) in Out of Order Status.

Note: A room placed in Out of Order status cannot be assigned to a reservation, and the room is not counted as available inventory.

  1. Choose the radio button beside Out of Inventory to place the room(s) in Out of Inventory Status.

Note: A room placed in Out of Inventory status cannot be assigned to a reservation and is subtracted from the available inventory.

  1. Select Start and End dates for the room(s) to remain in the selected status.

  2. Select the Reason Code from the drop-down menu. Reason codes can be configured at Setup → Property Hub Configuration → Property Settings - OOO/OOI Codes.

  3. Enter any additional notes in the Notes section.

  4. Click Update to update the room(s) status.

 

Put a room back in order

  1. Select the box beside one or more rooms.

  2. Click Out of Order.

  3. Choose the radio button beside Put a Room Back in Order.

  4. Select Start and End dates for the room(s) to remain in the selected status, or check the Update for all dates box.

  5. Click Update to update the room(s) status.

 

Add a note to room(s)

  1. Select the box beside one or more rooms.

  2. Click Add Note.

  3. Enter a note in the Note field.

  4. Click Add to add note to the room(s), or click Cancel to exit without adding note.

 

Clear a note from room(s)

  1. Select the box beside one or more rooms.

  2. Click the Note drop-down.

  3. Click Clear Note.

 

Print

From the Print icon drop-down, you can:

  1. Print Room Status

  2. Print Room List

  3. Print Out of Order/Out of Inventory List

  4. Print Checklist and Discrepancy list

  5. Print Assignments List

 

Filter rooms and/or sort rooms shown

  1. Filter rooms by:

    1. Room Type

    2. Room Unit Type

    3. Housekeeping Status

    4. Occupancy Status

    5. Guest Status

    6. Out of Order

    7. Attendants

    8. Room Assignments

  2. Select View Less Filters to hide the additional filters.

  3. Select Apply to apply filter settings.

  4. Select any of the following headings to sort room list:

    1. Room (number)

    2. Room Type

    3. Housekeeping Status

    4. Occupation Status / Guest Status

    5. Order Status/Reason

    6. Reason Description

    7. Assigned Attendant

 

Occupancy statuses

Room Status

Description

Vacant/Clean

Rooms that are ready for check-ins.

Occupied/Clean

In-House rooms that have received housekeeping service for the day.

Vacant/Dirty

Rooms to be cleaned for guests to check-in to.

Occupied/Dirty

In-House rooms that have not received housekeeping service for the day.

Out of Order

Rooms that have be placed out of order are available to be assigned to a reservation but are still counted in inventory as sellable.

Out of Inventory

Rooms that have be placed out of inventory are available to be assigned to a reservation, but are not counted in inventory as sellable.
