Action Bar

The Action Bar displays above the Stay Information section in the Guest Stay Record page. You can cancel or copy a reservation, view its details and change history, and email and print the guest folio for the reservation.

Authorize

You can initiate manual credit card authorization from the Guest Stay Record if Allow Ad-hoc Manual Authorization is enabled (Setup > Property Hub Configuration > Property Settings - Financial) for your property. To authorize a reservation:

  1. Click Authorize.

Note: Invalidreservation statuses include Cancelled, No Show, and Checked Out. Ad-hoc Manual Authorization processes reservations by their primary payment method. Debit card payment methods and reservations without a valid credit card payment method are excluded from the authorization process.

  1. Select the type of authorization:

    1. Authorize up to the total of the first night room and tax charges
      - This option is only available for Pre Arrival or Arriving reservation statuses. 

    2. Authorize estimated remaining balance of each reservation  

    3. Enter an authorization amount
      - If selecting this option, you must then enter a value in the Amount field before continuing.

  2. Click Authorize.

Note: After the authorization completes, the Total Authorized Amount displays in the Primary Folio and Folio Summary. You can also view the Credit Card Log for the reservation. For suppressed rate and SUCC guaranteed reservations, the authorization reflects in the No Print folio.

Pre-authorize

For pre-arrival reservations, you can pre-authorize an amount to be charged before the guest's arrival.

  1. Click Pre-Authorize.

  2. In the Pre-Authorize window, click Authorize. The transaction is initiated.

Cancel reservation

  1. Click Cancel Reservation.

  2. Choose a Cancellation Reason Code from the drop-down menu.

  3. Click Yes, Cancel Reservation to cancel the reservation, or click No, Keep Reservation to exit without cancelling.

Note: If you do not have user permission for the Allow Front Office Overrides access point and the Restrict in Property Hub access point is enabled, manager approval is required to cancel the reservation. 

Interface restrictions

If the property's configured interface supports guest restrictions (Setup > Property Hub Configuration > Interface Settings - Interfaces on Premises), you can enable or disable the interface restrictions from the Guest Stay Record page. 

Copy reservation 

  1. Click Copy Reservation.

Note: The Create a Reservation page indicates if there is an exact match for the room type and rate available and/or Other Results available.

  1. Select the desired room/rate.

  2. The Guest Name is copied from the original reservation.

  3. Add a Guarantee Method.

  4. Add necessary reservation information.

  5. Click Book.

Check voucher

  1. Click Check Voucher from either the Guest Stay Record or the Guest Folio.

  2. On the Check Voucher window enter:

  1. Click Check.

  2. If the voucher is valid, click Redeem to apply the voucher.

  3. If the voucher is in expired or redeemed status and Reinstate has been activated for the property, the voucher can be reactivated by clicking Reinstate.

Issue keys 

Issue new, duplicate or one time use keys.

  1. Click Issue Key.

  2. Choose the Key Type from the drop down list.

    1. New Key- Choose New Key to issue a key at check in. Issuing a new key will deactivate any existing keys made for the room.

    2. Duplicate Key- Will make an additional key to the room, without deactivating any existing keys.

    3. One-Time Key- Make a key that will only open the door one time.

  3. Choose the number of keys to be made. Max number of keys that can be made for a room at one time is 9.

  4. Select the Terminal Number terminal you are working from. Check Remember My Terminal to save your terminal number.

  5. Select the appropriate Encoder from the drop down. Check Remember My Encoder to save the encoder.

  6. Click Issue Key.

Actions

View reservation details

View all the details attached to a reservation. The details of the reservation are not editable in this view.

View change history 

To view details of changes that occurred in a guest reservation:

  1. Select Date Range to specify a time period for occurred changes to display.

  2. Select Date/Time to change the order the information below displays.

  3. Each line is an occurred change in the reservation with the following information:

    1. Date/time change occurred.

    2. The number of transactions.

    3. The user who made the change.

  4. Select a line to view details of that specific change.

  5. Select an expanded line to not view details.

  6. Select OK to exit Change History window and return to Guest Stay Record page.

Email folio or confirmation

Use the envelope icon to e-mail a copy of the folio to the guest e-mail address on file, including those with non-English characters in the First Name, Last Name, or Address fields.

  1. Click the envelope icon.

  2. Select the folio to email from the drop-down menu. The Email Folio window displays.

Note: You can select non-default folios from the Email Folio menu if Advanced Folios are enabled.

  1. Enter the guest's emails.

  2. Click Add Guest Email to add another guest email, if needed.

  3. Select the checkbox by the folio type to send.

  4. Click Send.

Use the printer icon to print a variety of items that might be associated with a folio. When the digital signature capture is enabled, click the Capture Guest Signature button to print the guest signature on the registration card. 

  1. Click the printer icon.

  2. Choose the item to print. Options are:
