Guest Information

The guest information displays on the left side of the screen in the Guest Stay Record page. You can enroll a guest in the rewards program, view their profile, change the number of guests, and edit tax and fee details.

Enroll a guest in a loyalty program

To enroll a guest in the hotel's loyalty program:

  1. Click Enroll.

  2. Select the radio button beside Yes, Enroll.

  3. Enter the required information.

  4. Check the box by Guest Will Receive Marketing Communications if the guest agrees.

  5. Check the box by Guest Has Given Consent to Save Personal Information for Future Reservations if the guest consents.

  6. Click Save to enroll the guest in the loyalty program, or click Cancel to exit without enrolling.

Loyalty programs

  1. Select chevron down arrow to expand to view information.

  2. Edit Loyalty Program No. field.

  3. Select chevron up arrow to close view of information.

  4. Select Save to save settings, or select Cancel to not save settings and return to previous Guest Stay Record page.

Profile

  1. Select View Full Profile to expand to view information.

  2. Make the desired edits (for example: VIP field, email address, or personal address).

  3. Select chevron up arrow to close view of information.

Change primary guest

To change the primary guest on the reservation. Use this function when the guest listed on the reservation is not staying in the room.

  1. Click Change Primary Guest.

  2. Deselect the appropriate taxes the guest is eligible to be exempt from.

  3. Click Save to save the changes, or click Cancel to exit without saving.

 

Additional guests

To add an adult or child to the total number of guests attributed to a reservation:

  1. Click Manage.

  2. Use the arrows to increase the number of adults or children that you are adding to the reservation.

  3. Click Apply.

  4. Click Edit Guests.

  5. Click Add a Guest.

  6. Enter the new guest's First Name and Last Name.

  7. Click Add to add the guest to the reservation.

 

Reservation information

This section displays the charges and fees associated with the reservation, along with other reservation information such as the confirmation and itinerary number. You can view the reservation total, edit tax and fee details, attach a company profile to the reservation, and review policies associated to the reservation in this section.

Note: If a Tax Sync (Setup → Property Hub Configuration → Property Settings - Tax Sync) was performed, it is recommended to run a Data Sync to reflect the tax changes immediately across the system. 

Enable the Show suppressed rate(s) toggle to view the numerical values.

Set a reservation as tax exempt

An example of when you would use this function is when you need to mark a reservation as tax exempt for certain taxes.

  1. Click Edit Tax and Fee Details. The Stay Info window displays.

  2. Uncheck any taxes or fees that the reservation should be exempt from.

  3. Click the blue hyperlink in the Tax or Fee column to view the Applied Taxes or Applied Fees window.

  4. Select a tax exempt reason from the Tax Exemption drop-down to exempt the taxes or fees. 

Note: Tax exemptions are configured in SynXis CRS → Setup → Property → Polices - Tax Exempt Reasons. By default, taxes are not exempt. When a guest's stay is extended, any tax exemptions attached to the previous night's stay are added to the extension. Exempted taxes in the SynXis Property Hub system do not post on no-show, cancellation, pre-posted, or manually posted charges, or when running Night Audit. Package taxes cannot be exempt, though package fees are eligible for exemption. 

  1. Click Apply.

    1. To edit taxes and fees per stay:

      1. Select Taxes and Fees Per Stay.

      2. In the Stay Taxes section, select a tax exempt reason from the Tax Exemption drop-down to exempt the taxes.

      3. In the Stay Fees section, select a tax exempt reason from the Fees Exemption drop-down to exempt the fees. 

Note: The Stay Taxes and Stay Fees totals reflect the changes made when a tax is exempted. Click the to save and close the Taxes and Fees Per Stay window.

b. To edit taxes or fees per night:

i. Select the checkbox to edit Taxes Per Night or Fees Per Night.

ii. In the pop-up window, select a tax exempt reason from the Tax Exemption drop-down to exempt the taxes or fees. 

Note: Tax exemptions are configured in SynXis CRS → Setup → Property → Polices - Tax Exempt Reasons. By default, taxes are not exempt. When a guest's stay is extended, any tax exemptions attached to the previous night's stay are added to the extension. Exempted taxes in the SynXis Property Hub system do not post on no-show, cancellation, pre-posted, or manually posted charges, or when running Night Audit. iii. Click Apply.

Add a company name to a reservation

Click to find and add a company to the reservation.

  1. Click Assign under Company.

  2. Search by:

  1. Click Find.

Note: The Find a Company pop-up requires you to enter a minimum of three characters in one field to search. The fields do not require an exact match to populate results.

  1. Select the appropriate company from the search results. The following company results fields display:

    1. Company Name

    2. Company Code

    3. Contact Name

    4. Main Phone

    5. City

    6. State

    7. Country

    8. Level

Note: The company profile selected from the access code is added to the guest's reservation. Only one company profile can be added to a reservation at a time. Company profile association is also available for both cancelled and no-show reservations. If the company profile is removed from the reservation, the rate does not update.

  1. If applicable, a Would you like to change your selected rate for a rate plan associated with this company? message displays. 

    1. No - The rate plan is not changed and the company profile you selected attaches to the reservation.

    2. Yes - The SynXis Property Hub system displays rates available for selection. Select a rate plan, and the company profile attaches to the reservation.

Note: If the reservation status is In House and one or more nights have passed, the rate for the rate plan associated with the company is changed only for the remaining nights of the stay. Rate plan selection is not available for FNS/PAC reservations. 

Review the policies associated with the reservation

Click Review Policies to review deposit, cancellation, guarantee and no-show policies associated with the reservation.
