Accounts Receivable

Use the Accounts Receivable page to create and modify accounts receivable accounts.

Create an account

To create a new Accounts Receivable account:

  1. Click Create an Account.

  2. Click Assign to search for and assign a company profile. The Find a Company window displays.

  3. Enter the company profile information in the Search Criteria fields, and click the Search button. The search results display.

  4. Click Select to select the company. The Connect this Company Profile to the AR Account pop-up displays.

  5. Select Do not populate account fields with company information radio option to keep the AR account details; or select Override the account fields with company information radio option to update the AR account details with the company profile details.

  6. Click Assign.

  7. From the Company Info section, select the radio button to make the account Active or Inactive.

  8. Fill out the required fields in the Company Info section.

  9. In the Contact Info section, fill out the required fields.

  10. (Optional) Click the Send Folio Details During Checkout checkbox to send folios associated with the account to the account email upon checkout.

  11. From the Statement Preference section, select the Delivery Method of the folio from the drop-down.

  12. Click Add to create account.

To link an AR account:

  1. Click the vertical ellipses icon next to the account.

  2. Select Link Account.

  3. Select the company or group from the drop-down. 

  4. Click the Link Account button. 

View account

To view an AR account, click the blue hyperlink in the ID column, or:

  1. Click the vertical ellipses icon next to the account.

  2. Select View Account.

  3. Select Ledger to view all current, open invoices for the account.

  4. Select Aging to view past due, open invoices for the account.

Edit AR account

To edit an AR account:

  1. Click the vertical ellipses icon next to the account.

  2. Select Edit Account.

  3. Make the required updates in the Company Info and Contact Info sections.

  4. Click Save.

Company profile

To connect a company profile to the AR account:

  1. Click Edit Account Details. The Edit AR Account window displays.

  2. If no company profile is assigned to the AR account, click Assign. If a profile is already assigned, click Change to assign a different profile. The Find a Company window displays.

  3. Enter the company profile information in the Search Criteria fields, and click the Search button. The search results display.

  4. Click Select to select the company. The Connect this company profile to the AR Account pop-up displays.

  5. Select Do not populate account fields with company information radio option to keep the AR account details; or select Override the account fields with company information radio option to update the AR account details with the company profile details.

  6. Click Assign.

  7. Click Save.

Filter accounts receivable view

To filter the Accounts Receivable view, click Filter to filter the list of accounts by Account Status:

  1. All

  2. Active

  3. Inactive

Or Delivery Preference:

  1. All

  2. Email

  3. Print

Post

You can post charges and payments to an AR account and add any additional account balance information. You can also post batch charges to multiple accounts at the same time

  1. Click the checkbox by the AR account name to select it. 

  2. Click Post.

  3. Select either Batch charges or Single account payment

Batch charges

If you selected to post charges, the Provide Charges section displays. 

  1. Select the Code from the drop-down.

  2. Enter a value in the Amount field. 

  3. Select the Add Taxes and Fees checkbox if the charge is NOT to be taxed.

  4. Enter any Comments.

Note: Comments can be updated once the charge is posted by selecting the drop-down caret from the Actions column. Edit the text in the Comments box, then click anywhere outside of the box to save your updates.

  1. Click Add another charge to post an additional charge.

  2. Click Post Charges to post all charges to the account.

Note: Click the drop-down caret in the Actions column to view the Payment History for the invoice.

Single account payment

If you selected to post a payment, the Post Payment section displays.

  1. Enter the payment amount in the Amount field.

  1. Select the Payment Method from the drop-down list.

  2. Enter any Comments, if needed.

Note: Comments can be updated once the charge is posted by selecting the drop-down caret from the Actions column. Edit the text in the Comments box, then click anywhere outside of the box to save your updates.

  1. If Credit or Debit Card was selected as the Payment Method, select the Terminal from the drop-down.

    1. Click Enter Card Manually to type in the card information, or click Send to Payment Device to swipe the credit card to add the information.

Note: Enter Card Manually is disabled for some restricted card types. 

  1. Click Post Payment to post all charges to the account.

Note: Click the drop-down caret in the Actions column to view the Payment History for the invoice.

Print

The following subtopics are related to print options for Accounts Receivable statements:

Print statements

You can print statements from Accounts Receivable, including those with non-English characters in the First Name, Last Name, or Address fields. To print statements:

  1. Click the checkboxes for the account invoices to print.

  2. Click the printer icon.

  3. Select Print Statements.

  4. Click Print on the pop-up window to print invoices.

Bulk print history

Use Bulk Print History to access generated documents. You can view the status of and retrieve printed statements, including those with non-English characters in the First Name, Last Name, or Address fields.

  1. Click the printer icon.

  2. Select Bulk Print History.

  3. A pop-up opens and displays bulk print time and details with an option to print.

Note: The bulk print files are available to print up to 24 hours.

Print receivables list

Use Print Receivables List to print the current list of accounts receivable, including those with non-English characters in the Name and Contact Name fields.

  1. Click the printer icon.

  2. Select Print Receivables List.

  3. A pop-up opens and displays receivables list details with a print option to print.

Email

You can email invoices for one or more AR accounts, including those with non-English characters in the First Name, Last Name, or Address fields.

  1. Check the boxes beside the account you wish to generate statements for.

  2. Click the envelope icon.

  3. Select Email Statement(s).

  4. On the Account(s) Receivable: Email Statements pop-up, check the boxes beside the invoices you wish to email. 

  5. On the pop-up, enter the Contact Email for each AR account. 

  6. Click Add Email to add a second email for each AR account.

  7. Click Send to email.
