Top Toolbar

The top toolbar displays at the top of the screen in the Guest Stay Record page. You can view the stay dates for reservation, number of guests, the room type and number, reservation status, and payment method. 

The Payment Method column displays the guest's method of payment for the reservation. If you uploaded a custom VCC logo in the Financial page (Setup > Property Hub Configuration > Property Settings - Financial), the VCC logo displays in this column for all VCC guaranteed reservations along with the guest's last four digits of their associated credit card and the credit card logo. 

Assign room

To assign a room to a guest:

  1. Click Assign Room.

  2. Highlight a room.

  3. Click Select to assign the room to the reservation.

  4. Click Search Other Type to search for a different type of room.

Change room

To change a room assigned to a guest:

  1. Click Change Room. The Room Assignment window displays.
  2. Highlight a room.

  3. Click Select to assign the room to the reservation; OR

  4. Click Search Other Type to search for a different type of room.

Moved to reserved

For pre-arrival reservations, the reservation status can be changed from Pre-Arrival back to Reserved. Once a reservation has been moved to the Reserved status, users can update the reservation upon the guest's request, including modifying the arrival and departure date, updating the status to No-Show, or canceling the reservation. Room assignment and authorization are not affected by the Move to Reserved status change. 

  1. Click Move to Reserved.

  2. Click Yes, Move it to reserved at the pop-up. The reservation reverts from Pre-Arrival to a Reserved status.

Check in a reservation

Check-in can be initiated from within the Guest Stay Record. The check-in flow will vary from property to property depending on how SynXis Property Hub is configured. Several key action points are completed during check-in such as capturing a physical swipe for the method of payment, room assignment, and issuing rooms keys. Upon check-in, the room status is updated to Occupied and the housekeeping status to Dirty.

  1. Click Check-In. The Check-in window displays.

  2. Select the Payment Method

  3. (Optional) Change the default value in the Amount to Post field. 

Note: The pre-populated value in the Amount to Post field is the full Amount Due. If the Restrict user from decreasing Amount to Post at check-in and extend stay dates checkbox is enabled (Setup → Property Hub Configuration Property Settings - Financial) and the user role has access, the value entered can be less than, greater than, or equal to the Amount Due

  1. (Optional) Enter a value in the Deposit Amount field.

  2. (Optional) Enter a value in the Amount Tendered field.

  3. Click Apply.

  4. Click Print to print the registration card.

Note: You can print individual registration cards from the Guest Stay Record page, including those with non-English characters in the First Name, Last Name, or Address fields. When the guest signature capture is enabled, click the Capture Guest Signature button to print the guest signature on the registration card. 

  1. Click Complete Check-In.

Check out a reservation

A reservation should be checked out upon the completion of the stay. Check-out can be accessed from several points in SynXis Property Hub including the Guest Board and the Guest Stay Record. At the time of check-out, the charges on a guest's account are settled by posting payment. Folios can be printed for guest review and also serve as their receipt. When a guest is checked-out of the system, the room status is automatically updated to Vacant and the room is reallocated into inventory.

  1. Select Check-Out to check-out guest.

  2. Select Print to print the Folio Statement.

  3. Select Check-Out to complete guest check-out.

Same day check-out

  1. Select Proceed and Post to agree to check-out guest same day as guest arrival.

  2. Select Cancel to cancel guest check-out and return to Guest Stay Record page.

Early check-out

  1. Select Continue to confirm guest check-out and view finalized reservation details. 

    1. If you have pending add-ons, click Continue. The Early Check Out box displays if charges have not yet posted.

    2. Click Yes, Post Charges to continue. 

Note: Any unused portion of a Per Night add-on is removed. Any unused Per Stay add-on is removed. Any add-on (Per Stay or Per Night) that is scheduled to post the night of check-out is removed. Any add-on that is scheduled for day of departure remains on the reservation and is not billed. 

  1. Select Cancel to cancel guest check-out and return to Guest Stay Record page.

Undo a check-in

To reverse a check-in:

  1. Open the Guest Stay Record for the reservation.

  2. Click Undo Check-In.

  3. Click Yes, Cancel to undo the check-in, or click No, Keep It to leave the reservation checked-in.
