Walk-In Guest

Create a reservation for same-day arrival for a guest who arrives without a reservation. Navigate to Front Desk → Walk In.

Guest information

Click the Find a Guest button to search for or add a new guest.

Availability section

  1. Select the Check-In and Check-Out dates from the calendar icons.

Note: The check-in date for a walk-in reservation must be the current day. Flexible dates are not allowed for walk-in reservations.

  1. Click the plus or minus buttons in the Nights field to select the number of nights the room(s) is occupied.

  2. Click the plus or minus buttons in the Rooms field to select the number of rooms required for the guests' stay.

  3. Click the plus or minus buttons in the Adults field to select the number of adults included in the reservation.

  4. Click the plus or minus buttons in the Children field to select the number of children included in the reservation.

  5. From the Code Type drop-down, select the access code type and enter the code in the Access Code field.

    1. To search for an access code, click Find Access Codes. If the access code has an associated company, the company is added to the reservation when booking is complete.

    2. Select the Promotional, Corporate, or Group tab and enter the applicable search requirements to find additional codes.

    3. Click Select to select the access code and return to the Walk In page.

Filters section

Select the relevant fields to reflect availability and rates for the dates requested.

Note: The check-in date for a walk-in reservation must be the current day. Flexible dates are not allowed for walk-in reservations.

  1. Select the Include rates with restrictions checkbox to display rates with restrictions in the search results.

  2. Select the Include unavailable rates checkbox to display unavailable rates in the search results.

  3. From the Room Type drop-down, select the checkboxes by the desired room types to display in the search results.

  4. Click Look Up Rate Plans to search for a specific rate plan.

    1. Enter the rate code name or code.

    2. Click Search.

    3. Select the desired rate plan.

    4. Click Apply.

  5. Click Search in the Availability section to display the filtered results.

  6. The available rooms display under the Room Type, Rate Plan, or Columns tabs. Select a tab to change the way results are displayed:

    Room Type - displays the room card and includes room description including the room name, availability and from price.
    Rate Plan - displays the rate description including the starting price and rate description. Each rate plan card is followed by the room type available for the rate plan.
    Columns - displays the product (room & rate) availability in a column view for easy comparison.

Note: Click the Sort By drop-down to sort by room type, alphabetical, or price.

Create a reservation for a walk-in guest

  1. Click the chevron down arrow beside the room type in the search results to view available or unavailable rooms (depending on your filter selections).

  2. Click Show Details to view the product's breakdown of pricing and policies.

  3. Click the Select button to choose a room and go to the Add-Ons page. Once add-ons are selected or you continue to book without any add-ons (Skip Add-ons button), the Create Reservation page displays. 

Note: If you select a room with a restricted rate and have the Override Unavailable Product access point enabled in SynXis CRS, select the Override button in the Override Restriction window.
If you do not have user permission to this access point, manager approval is required to override the restriction. 

  1. Click the reservation container drop-down at the top of the page to view details about the reservation, including its policies, room selection, attached add-ons, and rate:

    1. Click the pencil icon to make changes to your selections. 

    2. If applicable, click the Edit Tax and Fee Exempt Settings link. The Stay Info window displays. Click here to view more information about tax exemption settings.

  2. Verify the Guest Details section.

Note: If you did not add or find a guest before selecting a room, select Find a Guest or Add a Guest.

  1. Once the guest details have been added, the Manage Routing button is active. If routing is needed, it can be added at this point or at any time prior to check-out. Click here to view more information about adding routing.

  2. From the Guarantee Method section, select the method of payment from the Guarantee Method drop-down.

    1. (If Credit or Debit Card was selected as the Payment Method) Select the Terminal from the drop-down.

    2. Click Enter Card Manually to type in the credit card information, or click Send to Payment Device to swipe the credit card to add the information.

  3. From the Reservation Information section, click Add to add a room request and mark the appropriate boxes.

Room requests must be set up in SynXis CRS → Setup →  Rooms - Room Requests.

  1. Select a Source from the drop-down.

Note: Source must be setup in SynXis CRS Setup Rates - Market Sources.

  1. Select a Market from the drop-down.

Note: Market must be setup in SynXis CRS  Setup Rates - Market Segments.

  1. If an access code was not previously added or you need to change the selection, find a company code by clicking the search icon or clicking the Assign a Company Profile button.

    Note: If an access code with an associated company was selected from the Walk In page, the company code and name display in the Reservation Information section. To search for a company, enter a minimum of three characters in one field to search. The State and Country fields require an exact match to populate results. Only one company profile can be added to a reservation at a time. If the company profile is removed from the reservation, the rate does not update.
    1. Enter at least one field to search.

    2. Click Find.

    3. Click Select next to the company profile you wish to add.

    4.  At the Would you like to change your selected rate for a rate plan associated with this company? prompt:

      1. No - The rate plan is not changed and the company profile you selected attaches to the reservation.

      2. Yes - The SynXis Property Hub system displays rates available for selection. Select a rate plan, and the company profile attaches to the reservation.

  2. Enter the travel agent ID in the Travel Industry ID field and select the appropriate agent, or click Assign a Travel Agent to search for an agent by their name and city.

Note: Once a reservation has been saved, you are unable to unassign a travel agent. Any changes you make to your travel agent assignment must be made before saving or leaving this page. 

  1. Select the Send email confirmation to guest checkbox to send the confirmation to the guest's email on file.

  2. Click Assign Room to manually select a room number, or skip this step to allow the SynXis Property Hub system to automatically assign a room at check-in.

  3. Click the Check-in button to complete the reservation.

Note: The reservation is checked-in and the Guest Stay Record page displays.

Field definitions

Field Description
Room Type Filters results by the specified room type(s).
Adults Number of adults listed on the reservation.
Children Number of children under the age of 18 listed on the reservation.
Check-in Arrival date.
Check-out Departure date.
Nights The number of nights in the span of a reservation.
Show Unavailable Rates Click to view rates that are not bookable (without manager approval).
Show Restricted Rates Click to show rates that have restrictions that must be met in order to book.
Code Type Use the Code Type to select a specific rate code type.
Promotional Special rates.
Corporate Typically business-negotiated rates.
Group Rates that are attached to a group block.
